01.Scope and responsibility
This policy describes the Sama mobile app and public website. Sama organises household plans, meals and shopping. It explains information supplied by account holders, information about people included in a Household, and technical information needed to operate the service.
The legal name and contact address of the organisation responsible for Sama must be inserted before this policy takes effect. App stores and independent websites have their own policies.
02.Account and profile information
When you sign in, the service processes information used to identify and authenticate your account, such as your email address or information supplied by your selected sign-in provider. Your display name, language preference and Household membership support the features you use.
Authentication sessions may be stored on your device so that you can remain signed in. Protect your device and sign out when you no longer want access from it.
03.Household information
A Household includes its name, member directory, member roles and invitation records. People you add may be Account Members or Managed Members. Managed Members do not sign in but may have a name and relationship recorded by a Household Admin.
Plans may include bill names and amounts, dates, recurrence, assignees, cleaning, maintenance and events. Meals contain meal dates, types, preparation choices and dishes. Shopping contains item names, purchase status and member attribution. Avoid adding personal information that your household does not need.
04.How information is used
Account information supports authentication and membership. Household content supports shared planning, meal arrangements, shopping and the display of relevant activity. Preferences support the language and settings you choose.
Operational information supports service security, failure investigation and maintenance. Where a purpose requires consent or another legal basis, the applicable requirements must be met before that processing begins.
05.Sharing within your Household
Members can view Household information according to their access. Admins manage membership and Managed Members. The names associated with plans and shopping activity help members understand who is handling an arrangement.
Share an invitation only with intended recipients. Someone who has seen shared information may remember or copy it. Removing a person from a Household does not remove copies that person made independently.
06.Notifications and device information
If notifications are enabled, technical delivery information, such as a device push token, may be used to deliver supported reminders and household updates. You can manage notification permissions through your device settings.
App version, platform, operating system and technical failure references may be needed to understand compatibility or errors. Notification and diagnostic settings serve different purposes.
07.Support and technical diagnostics
A support enquiry can include your name, reply address and the message you choose to provide. Do not include sign-in codes, invitation credentials or unnecessary sensitive information. Voluntary support messages are distinct from automatic diagnostics.
Sama’s diagnostic design limits automatic reports to reviewed technical context and pseudonymous references. Household free text and raw account credentials are excluded from automatic telemetry. Diagnostics are governed separately from household functionality; the availability of an app feature does not itself authorise additional diagnostic collection.
08.Service providers and international processing
Service providers may be needed for account authentication, database hosting, notifications, website hosting and technical diagnostics. Their access should be limited to the service they provide. The relevant providers and processing locations should be disclosed with the effective policy.
Processing may take place outside your country when a selected provider operates elsewhere. Any applicable transfer requirements and safeguards must be addressed before that processing is activated.
09.Website, cookies and contact form
The current public website serves informational pages and local image assets without connecting visitors to Household data. No advertising trackers or analytics scripts are included in this website implementation. Hosting providers may have their own operational logs, which must be disclosed when hosting is configured.
The current Contact Us form keeps entered information on the page; it does not transmit the message or persist it in browser storage. If online sending is enabled, this policy must be updated to explain the recipient, purpose and retention. Following a store or social link takes you to another provider.
10.Retention and deletion
Information should be retained only for the time necessary for the stated purpose, service operation and applicable obligations. Account, Household, support, diagnostic and backup records may have different lifecycles. Information no longer required for its purpose should be deleted or de-identified, subject to necessary legal, security and backup requirements.
Deleting an account and deleting a Household are different operations. Shared content may involve other members and must follow the applicable deletion rules. Backup copies may follow a separate expiry process and should not be used to restore an account’s ordinary access after an accepted deletion.
11.Your choices and requests
You can manage supported profile and language settings, notification permissions and Household membership through the available app controls. For access, correction, deletion or another privacy request, contact the confirmed privacy channel once published.
Requests may require identity verification. Any rights and exemptions depend on the law that applies. A request concerning your own information does not give you access to another person’s information. Requests should explain what information or action you are seeking, without providing unnecessary information about other people.
12.Children and information about others
A Household may include information about children or other people who do not hold an account. A person adding that information must have the appropriate authority and should share only what is needed for household planning.
Parents or guardians should supervise the sharing of children’s information. A concern about information added without appropriate authority should be raised through the privacy contact channel.
13.Security
The engineering design uses authentication and Household access controls to restrict information. Staff access to support and diagnostic information is a separate permission boundary. These measures reduce risk but no connected service can guarantee absolute security.
Keep your device and sign-in credentials secure. If you suspect unauthorised access, use an available support channel. Do not publish private household information in a public contact message.
14.Updates and contact
The published policy will carry a version and effective date. Material changes should be explained before they apply, including any additional permission required. New features or providers may require an updated notice.
A confirmed privacy email, operator address and request process will be added before publication. Until then, the website Contact Us form has no delivery service and must not be relied on to deliver a request.
